Chief of Staff Job Description As Chief of Staff at the company, you'll ensure the smooth daily operations of their CEO, and of the team more broadly. You'll have a direct impact on early decisions as they establish their organization, you’ll be juggling schedules, owning diverse operational tasks, and orchestrating travel plans. You will also facilitate clear communication within the organization, and will make sure that the way they use their time is aligned with our strategic priorities. Your knack for staying ahead of the curve is crucial for their continued growth and innovation. Key Responsibilities SchedulingWork your magic to ensure their schedule flows smoothly.Optimize schedule to minimize context switching and protect focus time.Craft travel experiences that match their goals and optimize for efficiency.Support the CEOs role in the recruiting process including supporting candidate experience during onsite interviews.Manage relationships and follow ups to make sure they are meeting with the right people at the right time.Seek out the right connections at events and get them in the right places.PrioritizationInfluence meeting priorities, deciding what's on the docket now and what can wait.Review executive inbox, summarizing emails that don't require a response and prioritizing those that do.Manage to-do list, capturing and categorizing tasks based on urgency and importance.Track the allocation of time to ensure their execs are in tune with company priorities.Meeting SupportProactively manage 1:1s, internal and external commitments, team and organizational meetings and agendas, and events.Prepare leadership with well-crafted briefing docs ahead of events including external meetings, talks, and academic conferences.Coordinate multiple calendars and external events to optimize attendance.Committed to updating their records and action items consistently and methodically.Occasionally take meeting notes and assist with data organization.Other OperationsAssist in preparing contracts.Building onboarding schedules for new employees.Prepare documents and reports.Identify and engage external contractor support where needed.Manage various ad-hoc tasks.QualificationsProven experience supporting complex executive calendars.Exceptional organizational and time management skills.Ability to work independently and exercise sound judgment when making decisions.Experience developing strong internal and external relationships through strong communication and interpersonal abilities.Proactive in learning new skills and suggesting improvements without prompting with a thoughtful approach to problem solving.Examples of building new processes that create efficient and effective outcomesDiscretion in handling confidential information.Strong problem-solving skills, attention to detail and self-starter.Proficiency in productivity tools (e.g., Google Workspace, Slack, Notion, AirTable) and experience with CRMs and/or databases.DeWinter Group and Maris Consulting is an equal opportunity employer, and all qualified applicants will receive consideration for employment without regard to race, color, religion, age, sex, national origin, disability status, genetics, protected veteran status, sexual orientation, gender identity or expression, or any other characteristic protected by federal, state or local laws.
